Custom systems

Software built only when the off-the-shelf answer genuinely does not exist

Custom software is the most expensive way to solve a problem and occasionally the only way. The useful part of this service is the honest answer about which situation you are in.

Who builds it

Jada EngelSystems and Product Development

Jada builds the systems the strategy depends on — the booking, CRM, reporting and automation infrastructure that turns a plan into something that runs every day. They have award-winning gym design experience.

  • Custom business systems
  • Hotel and restaurant technology
  • Booking and scheduling systems
  • Marketing systems
  • CRM platforms
  • Automation infrastructure
  • Reporting dashboards
  • AI-connected systems
  • Multi-tenant SaaS platforms

Before anything else

When we will tell you not to build it

Four situations where a custom build is the wrong answer. If the audit finds one of these, that is what the recommendation will say.

  • A standard tool already does it, and the objection is preference rather than capability.
  • The process it would encode has never been written down, and would be re-decided halfway through the build.
  • Nobody in the business will own it after handover.
  • The real problem is that two existing systems do not talk to each other — an integration is cheaper and lower risk.

Audit to solution

When a build is the right answer

Found

The business runs on a spreadsheet that only one person fully understands.

Costs you

Operations depend on an individual's availability, and there is no audit trail when a number changes.

We do

A system with roles, validation and history, built around the process that spreadsheet was actually encoding.

Found

Bookings, staff schedules and customer records are in three unconnected tools.

Costs you

The same information is re-typed several times a day, the versions disagree, and reporting has to be assembled by hand every month.

We do

Either integration between what exists, or a single system where the process genuinely needs one — decided on evidence, not on preference.

Found

Management reporting is assembled manually and is always out of date by the time it is read.

Costs you

Decisions are made on last month's picture, and the effort of producing it is a recurring, invisible cost.

We do

Reporting generated from the source systems on a schedule, with the definitions written down once.

What we implement

How a build actually runs

Discovery and process mapping

How the work is actually done today, written down before a line of code exists.

Data model

The entities, relationships and rules the system has to protect.

Application build

Frontend, backend and integrations, built against the mapped process.

Roles and access

Who can see and change what, enforced by the system rather than by convention.

Reporting

Dashboards and scheduled reports generated from the live data.

Deployment and handover

Release, testing against the original requirement, documentation and training.

What becomes measurable

The case you can check afterwards

  • The time the manual process used to take, against the time it takes afterwards.
  • Error and rework rates, because the system now validates what a spreadsheet never could.
  • Whether reporting is current, since it is generated rather than assembled.
  • Who changed what and when — an audit trail that simply does not exist in a shared file.

The baseline is recorded before the build starts. A system that cannot be compared to what it replaced cannot be justified.

Engagement options

How involved you want us to be

The same capability, offered six ways. You are not required to buy the whole thing to get any of it.

  • Strategy only

A technology roadmap: what to keep, connect, replace or retire, and in what order.

  • Audit or review only

An assessment of a system you already have or a build someone else has proposed.

  • Setup only

Configuration and integration of existing platforms where that solves the problem without a build.

  • Implementation project

A scoped build: discovery, data model, application, deployment, testing and handover.

  • Ongoing management

Hosting oversight, support, iteration and reporting once the system is live.

  • Full-service partnership

The system is built and operated inside the wider programme, connected to campaigns, CRM and reporting.

What this doesn't include

  • Building something a standard tool already does well. If that is the situation, we will tell you and decline the build.
  • Fixed-price delivery of an unmapped process. Discovery comes first, and the build scope follows from it.
  • Hosting, licence and infrastructure costs, which are yours and are billed by the provider.
  • Guaranteed timelines on work whose requirements are still moving. Scope changes move the date, and we say so in writing at the time.

Find out whether you need a build or an integration

The audit maps the systems you run, where they duplicate each other, and which manual steps exist only because two tools do not talk.
